Photograph the invoice. The rest is arithmetic.

Wholesale invoices are the only honest record of what your flowers cost. Stemalytics reads them, sorts every line, and checks the maths before it files anything.

  1. Photograph it

Or upload a PDF, or import a CSV. Paper, email attachment, portal download - all the same to it.

  2. It reads the lines

Product, quantity, unit, unit price, line total, freight, tax.

  3. It checks the maths

Every line, and the invoice total. See below.

  4. It files it

Classified, costed, and attached to the right vendor.

Every invoice has to add up.

Every line is checked: quantity times unit price must equal the line total. Then the whole document is checked: the lines, plus freight, plus tax, less any discount, must equal the invoice total. Both have to balance to the penny.

If it does not balance, Stemalytics says so and shows you the line, marked Check this, rather than quietly filing a number it is not sure about.

Optical character recognition can misread a figure - a digit is mistaken for another, or a decimal point moves. A system that does not check its own work will file that silently and price from it for months. The arithmetic is what makes the difference between a number you can use and a number that looks like one.

A reconciled invoice is also the only kind that contributes to cross-shop benchmarks. A price that does not balance never leaves your shop.

What it sorts into

  • Fresh florals
  • Greens
  • Hard goods
  • Plants
  • Delivery charges

Hard goods are sorted further - 69 sub-categories recognised automatically, from ribbon and wire to containers and foam.

96.9% classified correctly by rule, before any human review - measured on 2,263 labeled invoice lines.

The second invoice from a vendor is easier than the first.

Vendors are recognised from the invoices themselves and build into your supplier list. You never create a vendor record by hand. Once a vendor's layout is known, later invoices from them need less confirming.

What it will not do.

  • Handwriting is flagged, not guessed. A substitution or a price written in by hand goes to review rather than being recorded as read.
  • A packing slip with no prices is rejected. It cannot cost what it cannot see.
  • The first invoice from a new vendor needs a quick confirm. After that it is learned.
